A line that answers itself
Our phone line is answered by a receptionist we built. Before it answers, a screen checks the call, and a caller on an unknown internet phone line presses one first, which keeps robocalls off the line.
Then a short notice plays, and the receptionist answers. It takes the caller's details and answers from what we publish. When the call needs a person, someone from the team calls back, and after a call it takes, a summary lands in our CRM, next to the recording.
Features
What it does
Checks the call before anyone answers. A caller on an unknown internet phone line presses one.
A short recorded notice plays before the greeting.
Answers by name and tells the truth when asked. A call that needs a person goes to the team.
A written summary of a call the receptionist takes lands in our CRM with its recording.
A screen before anyone answers
Before the receptionist answers, a screen checks the call. A caller on an unknown internet phone line first hears a short message asking them to press one, and pressing one starts the call.
That one step keeps robocalls off the line, and we can block a number that keeps calling.
The notice comes first
A short recorded notice tells the caller the call is recorded, before the greeting. It plays in a plain voice of its own, not the receptionist's.
If the recording of the notice fails to play, the notice is still said, so no recorded call starts without it.
Answered by name
The receptionist is AI, and it answers by name. It takes the caller's details and answers questions from what we publish, and when a caller asks whether they are talking to a person, it tells the truth.
It can book a discovery call, take a callback, file a new inquiry and save a client's support request in our CRM. When a call needs a person, it says someone from the team will call back, and the call leaves a task for us.
A summary next to the recording
Once the receptionist has taken a call, the call and its summary land in our CRM, next to the recording, so the person who calls back can read it first.
That is how our own line runs today.
Facsimile
The card a call leaves behind
After the receptionist hangs up, this is what lands in the business's CRM: who called, what the screen and the notice did, a written summary, what got booked and what happens next.
