AI call review

Your recorded calls, transcribed and scored against a checklist you write, with a weekly note for each person on your phone team.

Updated October 16, 2026

In short

AI call review transcribes the calls your business already records with consent and scores them against a checklist you write, such as asking the caller's name or offering a visit. Each week it sends a short note for each person on your phone team. The written plan prices it for one phone system, and the ops retainer keeps it running after launch.

Definition

AI call review: Software that turns a business's recorded phone calls into text and checks each one against a written list of what a good call includes, such as a greeting by name or a clear next step. A person writes the list and reads the results, and the software does the listening a manager rarely has time for. Unlike a recording system on its own, which keeps the audio for someone to replay, it says what happened on a call and where the call fell short of the list.

Key facts

  • California Penal Code section 632, which bars recording a confidential call without the consent of all parties, counts a corporation or a limited liability company as a person.

  • California Penal Code section 632.7 makes it a crime to intentionally record a call carried by a cell or cordless phone without the consent of all parties to it.

  • California Penal Code section 637.2 lets a person injured by a recording that breaks section 632 or 632.7 sue for a fixed sum per violation or three times actual damages, whichever is greater.

What happens to a recorded call

Each step runs on the recordings your phone system already keeps, against the checklist you approve in the written plan.

  1. It collects the recordings

New recordings come from your phone system through its API or an export, whichever the written plan confirms.

  2. It transcribes

Each recording is turned into text, and the transcript is kept on an account in your name.

  3. It scores

The transcript is checked against your checklist one line at a time, with the part of the call behind each mark.

  4. It writes the weekly note

Once a week, each person on your phone team gets a short note on what went well and the line of the checklist to work on, and you see each note.

What you get

The smallest version covers one checklist for one team, on one phone system. Adding a system means another hookup, and adding a checklist or a team means more scoring to write and check, so the written plan prices either first.

  • Your recorded calls read from one phone system, through its API or an export the written plan confirms
  • A transcript of each recording, kept on an account in your name
  • Scoring against one checklist you write and approve, with the part of the call behind each mark
  • A weekly note for each person on your phone team, with a copy for you
  • The checklist tuned with you over the first weeks, until the marks match your own ear

How it goes

We start with a handful of your best calls and a few that went wrong, and turn the difference into a checklist in your words. The written plan names the phone system and how its recordings reach the review, with the price, and you approve the checklist before any call is scored.

For the first weeks you read the marks beside the calls, and we adjust the checklist until the marks match what you would have said. After that it runs each week on the ops retainer, and the checklist changes when your service does.

In short

Call review reads only calls you already record, so the recording consent comes first, approved by your lawyer before any call is reviewed.

In California, Penal Code section 632 covers confidential calls and section 632.7 covers calls carried by a cell or cordless phone, and both ask for the consent of all parties before a recording. Section 637.2 lets a person recorded without it sue.

Setting up recording on your phone system sits outside the smallest version, and so does the notice callers hear. Your lawyer settles both, and the written plan records what was approved before the first call is reviewed.

A review is only as fair as its checklist, so your phone team sees the list before any of their calls is scored.

What it costs

Projects start at $2,500. Past that, most of the price of a call review is the hookup to your phone system and the first weeks of tuning the checklist until its marks match your own ear.

What the smallest version covers: Calls you already record with consent on one phone system, confirmed in the written plan, transcribed and scored against one checklist you approve, with a weekly note for each staffer on one team.

A short call comes first, and the written plan with the exact price follows within two business days, before anything is built. Business days are Sunday to Thursday, and Friday until noon, Los Angeles time; a request after 1 p.m. (noon on Friday) counts from the next business day.

How AI work is priced

Your rules, your lawyer

In short

We build it and warn you in writing about the legal side. We do not give legal advice, so the rules your AI follows are yours, set with your lawyer.

  • Recording calls

California law requires the consent of everyone on a call before it is recorded when the call is confidential (Penal Code section 632) or carried by a cell or cordless phone (section 632.7). A notice can play at the start of each call. Whether it does, and what the notice says, is your setting.

  • No legal advice

We flag the questions in writing, and your lawyer answers them. This is general information, not legal advice. Your rules are yours to set with your own lawyer.

A worked example (hypothetical)

Picture a moving company in the South Bay where two people answer the phone and quote jobs. Its calls are recorded with a notice its lawyer approved, and the owner means to listen to a few each week but rarely gets through one.

One call review would read the week's recordings and mark each against the owner's checklist, such as asking for the move date and offering a written quote before the call ends. On Monday each of the two gets a short note with what went well and the one line to work on, and the owner reads both.

The owner still decides what a note means and who needs a conversation. The review only makes sure someone heard the calls.

Common questions

Which calls does it review?

The calls your phone system already records, once the recording consent your lawyer approved is in place. Setting up the recording itself is outside the smallest version.

How does my phone team fit in?

They help write the checklist at the start, since they know which calls go well and which do not. Each person gets their own note each week, with the one line to work on.

Does it work with my phone system?

Usually, when the system offers an API or an export of its recordings, and the written plan names which one. A system with neither needs another way to reach the recordings, priced in the plan.

Is a score the final word on a call?

No. A mark shows where a call missed a line of your checklist, and you decide what it means. When the marks disagree with your own ear, the checklist changes.

Can it review texts and email too?

Not in the smallest version. Texts and email are other sources with rules of their own, so they are priced in the written plan.

What does it cost to keep running?

The ops retainer, billed monthly at the fee the written plan states, keeps the reviews running and the checklist current. The transcription is a usage charge too, billed at cost with the AI usage on accounts in your name.
