AI

AI receptionist

Answers your phone at any hour, screens out spam, books visits and writes a summary of each call it takes into your CRM, set up from a written plan.

Updated October 16, 2026

In short

An AI receptionist answers a small business's phone, screens out spam, books into the tool the business already uses and writes a summary of each call it takes into its CRM. Ours answers our own line today. A written plan prices the setup and the monthly care after a short call, with phone minutes and AI usage at cost on accounts in your name.

Definition

AI receptionist: Software that answers a business's calls in a natural voice, following the script and rules the business sets, and passes a call it cannot settle to a person. Unlike an answering service, it needs no staff on the line; unlike a phone menu, the caller just talks. It can turn away known spam before the phone rings, book a visit into the business's booking tool and leave a written summary of each call it takes. Its script and its rules for who gets which calls are set in writing before it goes live.

What it does on a call

What happens on a call, set to your rules in the written plan.

  1. It screens

Known spam is turned away before it rings anyone, and a caller from an internet phone line can be asked to press 1.

  2. It answers

By the name you choose, with your business's name, after your recording notice if you use one.

  3. It books

When the caller wants a visit, it books into the booking tool you already use, named in your plan.

  4. It writes it down

A summary of the call lands in your CRM with the caller's details, and a text goes to the right person when a call needs one.

Facsimile. A fictional business, a made-up caller, sample data. (818) 555-01xx numbers are reserved for fiction.

Hear it first

Two staged calls to our own line. The callers and their details are made up, and the voice that answers is the receptionist we built.

  1. A new project, after hours

A caller opening a bike repair shop asks about a website, and books a discovery call.

    Caller
Hi, I know it's after hours. I'm opening a bike repair shop next month, and I need a website for it.
    Receptionist
Hi there! Thanks for calling. A website for your bike repair shop, that sounds like a great project. What's your name, and what's the shop called?
    Caller
My name is Alex, and the shop is called Hollow Pine Bikes. We just need a simple website, nothing else. The budget, I'm not sure yet, and would like it live in about a month.
    Receptionist
Got it, Alex. A simple website for Hollow Pine Bikes, hoping to go live in about a month. Do you have an email address I can pass along to the team?
    Caller
The email is alex at example dot com. That's a, l, e, x, at example dot com.
    Receptionist
Thanks, Alex. Let me read that back: alex at example dot com. Is that right?
    Caller
Yes, that's right. No, we don't have a website yet.
    Receptionist
Got it, no current website. Let me get this over to the team. Perfect, I've got that down for you. The team has a few discovery call slots open: Sunday, October 18 at 10 AM. Monday, October 19 at 10 AM. Tuesday, October 20 at 10 AM. Which one works best for you?
    Caller
The first one works for me.
    Receptionist
Great, so that's Sunday, October 18 at 10 AM, and I'll send the confirmation to alex at example dot com. Does that sound right?
    Caller
    Yes, that's correct.
    Receptionist
All set, Alex. You're booked for Sunday, October 18 at 10 AM, and the confirmation is on its way to alex at example dot com. So I've saved your inquiry for a website for Hollow Pine Bikes and booked you a discovery call for that Sunday morning. Thanks for calling, and we'll talk soon.
    Caller
    Thank you, goodbye.
    Receptionist
Goodbye, Alex. Have a great evening.

Hi, I'm calling about a website. Wait, am I talking to a real person?
    Receptionist
I'm not a person. I'm the automated receptionist the team built. Want one like me for your business? So, a website, happy to help with that. What's your name, and what's the company or project it's for?
    Caller
Okay, that's good to know. That's all I wanted to ask for now. Thanks, goodbye.
    Receptionist
You're welcome. Thanks for calling Your Wish Is Our Code. Have a great day. Goodbye.

What you get

The smallest version covers one phone number, one booking tool and one CRM hookup. More of any of them, or texts to your team, which wait on your texting registration, is priced in the written plan before anything is built.

  • A receptionist on a new number in your name, or on your own number forwarded to it for all calls or only some
  • A spam screen in front of it, set to your rules
  • Booking into one tool you already use when a caller wants a visit, or a request your team confirms
  • A summary of each call it takes, in your CRM or your inbox
  • One number it puts calls through to in your hours, and one rule for after you close
  • Your recording notice and AI disclosure, set the way you choose and written down

How it goes

We start with your calls and what you want done with each kind. The written plan turns that into the receptionist's script and rules, with the price, and you read it before anything is built.

We build it on a test number you can call yourself, then move it onto your line once it handles your calls the way you want. After launch, care covers the fixes and the small changes as your hours and prices move.

What it costs

Projects start at $2,500. Past that, the setup is priced by the calls it handles, from the kinds of call its script covers to the tools it books into and writes to.

Receptionist care
A monthly service fee after launch
Minutes and AI usage
At cost, on accounts in your name

What the smallest version covers: One phone number, new or your own forwarded, that follows your hours and your after-hours rule, with a summary of each call it takes in your CRM or inbox and booking for one tool you use, confirmed in the written plan.

A short call comes first, and the written plan with the exact price follows within two business days, before anything is built. Business days are Sunday to Thursday, and Friday until noon, Los Angeles time; a request after 1 p.m. (noon on Friday) counts from the next business day.

How AI work is priced

What missed calls may cost you

Three numbers of your own. The two assumptions are Zenoti's 2025 figures from beauty and wellness businesses: 37 percent of calls unanswered, 24 percent of voicemail callers leaving a message.

In the example

$2,200

a month in bookings that may go elsewhere, from about 64 missed calls

Your rules, your lawyer

In short

We build it and warn you in writing about the legal side. We do not give legal advice, so the rules your AI follows are yours, set with your lawyer.

  • Recording calls

California law requires the consent of everyone on a call before it is recorded when the call is confidential (Penal Code section 632) or carried by a cell or cordless phone (section 632.7). A notice can play at the start of each call. Whether it does, and what the notice says, is your setting.

  • No legal advice

We flag the questions in writing, and your lawyer answers them. This is general information, not legal advice. Your rules are yours to set with your own lawyer.

A worked example (hypothetical)

Picture a plumbing company in the Valley with two vans and the owner on the phone between jobs. Calls that come in while the owner is under a sink go to voicemail, and many of those callers hang up without leaving a message.

One receptionist would answer those calls, book the jobs that fit into the calendar the company already uses and email the owner a summary of each call it takes. Receptionist care keeps it in step as prices and the service area change. The owner still calls back anyone who asks for a person; the receptionist only takes the ringing off the owner's hands.

Common questions

Will callers know it is AI?

Saying so up front is your setting, and it is set never to claim to be a person. Ours answers by name and says it is an automated receptionist when asked, and we write your choice into the plan before launch.

What happens when a caller needs a person?

In your hours it can put the call through to the number you name. After you close it follows the rule you chose, such as taking a message for the morning or putting urgent calls through to one on-call number.

Can it book into the tool we already use?

Usually, when the tool has a way for software to book. The written plan names your tool and how it connects; if it has no way in, the receptionist takes the request and your team books it.

Can it answer only some of our calls?

Yes. Your carrier can forward all of your calls to it or only some, such as the ones you miss, and the plan writes down which.

Is it legal to record calls in California?

California requires everyone's consent to record a confidential call, and to record any call with a cell or cordless phone on it (Penal Code sections 632 and 632.7). Keeping a call's audio stays off until you turn it on with a notice your lawyer has read. Either way the receptionist transcribes each call to answer it and keeps a text log in your account, and the written plan lists both for your lawyer.

Does it take payments or read out account details?

No. It takes no payments, and it reads nothing from your records back to a caller, which would need a check of who is calling first.

What does it cost each month?

Receptionist care, a monthly service fee the written plan states, covers the fixes and the small changes. The phone minutes and the AI usage run on accounts in your name and are billed at cost, so every charge is yours to see.
